As the Administrative Coordinator, your key areas of focus will be on providing high-level administrative support to the President/CEO, oversees office functions for the administrative office and administers assigned human resource responsibilities.

Responsibilities include but are not limited to:

Executive Support

Provides accurate, confidential and professional administrative support to the President/CEO to facilitate his/her ability to effectively lead the organization.  This includes but is not limited:

  • Demonstrates professionalism and leadership to develop and maintain trust and credibility with the President/CEO.
  • Familiarizes self with President/CEO's role, schedule, contacts, etc. anticipates needs and takes care of details behind the scene to allow the President/CEO to maximize their reach.
  • Drafts and prepares written materials such as agendas, minutes, reports, handouts and packets.
  • Manages President/CEO’s calendar and resolves scheduling issues. Communicates timely and effectively with the President/CEO to keep him/her well informed of upcoming commitments and responsibilities.
  • Screens, researches, prioritizes and follows up on incoming issues and concerns addressed to the President/CEO, answers questions within authority and gets the President/CEO involved as applicable.
  • Serves as the President/CEO’s administrative liaison to the Board of Directors and other senior management.
  • Manages a variety of special projects.
  • Assures that internal and external meetings hosted by the Metro office and/or President/CEO are well organized.  This includes coordinating meeting locations/rentals, catering, setup, cleanup, etc.

Office Support

  • Maintains office equipment (e.g., copiers stocked with paper, troubleshooting, main contact with provider, etc.).
  • Collect and distribute mail and faxes.
  • Oversee the image of the office workplace including but not limited to stocking of supplies (kitchen and supply rooms), cleanliness (board room, kitchen, conference room) and tidiness and organization of supply rooms. 

Human Resources

  • Provides administrative support related to onboarding, personnel file management and employee benefits.
